About this Goodmeet Privacy Policy
This Goodmeet Privacy Policy ("Goodmeet Policy") is the Product Privacy Policy for Goodmeet. It supplements the Good Systems Privacy Policy available at https://www.goodsystems.com/privacy-policy (the "Good Systems Policy") and should be read together with it. The Good Systems Policy describes how Good Systems, Inc. ("we", "our" or "us") processes your Personal Data across all of our Products, including your rights, international transfers, security, cookies and how to contact us. This Goodmeet Policy describes only the additional processing that takes place when you use Goodmeet and the points on which Goodmeet differs from the Good Systems Policy.
Where this Goodmeet Policy deviates from the Good Systems Policy, this Goodmeet Policy prevails in respect of Goodmeet. Everything not addressed in this Goodmeet Policy is governed by the Good Systems Policy. Capitalised terms not defined in this Goodmeet Policy have the meaning given to them in the Good Systems Policy.
Good Systems, Inc., 103 Foulk Road, Suite 202, Wilmington, DE 19803, United States, is the controller of your Personal Data in connection with Goodmeet. As described in the Good Systems Policy, Goodnotes Limited acts as our processor for account authentication through the Goodnotes Account ("GNA") infrastructure; your meeting recordings, transcripts, notes, summaries and other Goodmeet content are processed separately by Good Systems and are not shared with Goodnotes Limited.
Service Description
Goodmeet provides meeting recording, transcription and summarisation tools. It allows you to record the audio of a meeting using your device's microphone and system audio stream, to generate a transcript and meeting notes and summaries and, optionally, to connect your calendar. Transcription happens locally on your device; where a transcript is used to generate a summary or other Goodmeet AI feature, only the transcript (not your audio) is sent to a secure confidential computing environment that is designed so we cannot access or read it (see Section 5). To provide these features we process Personal Data including your name, email address and login details, your meeting recordings, meeting inputs and transcribed content (only where you instruct us to do so).
Goodmeet accesses only your device's microphone and system audio stream. It does not access, collect or process any data (including participant lists, chat messages or platform metadata) from third-party communication platforms (such as Microsoft Teams, Zoom or Google Meet) that you may use in connection with a meeting.
Goodmeet can be used in signed-in mode (with a Good Systems Account) or in guest mode (without signing in). The difference between the two modes for your data is explained in Section 7.
Additional Personal Data we collect when you use Goodmeet
In addition to the Personal Data described in Section 1 of the Good Systems Policy, when you use Goodmeet we collect and process:
Meeting content: audio recordings of your meetings captured from your device, transcripts generated from those recordings (processed locally on your device), and the notes, summaries and other outputs generated by Goodmeet AI features. Meeting content may contain the voice and any other Personal Data of you and of other participants, as reflected in the transcript generated from a recording; your audio itself is not sent to our servers or to any third party.
Calendar data (Google User Data): if you choose to connect your Google calendar, we obtain certain data from Google Workspace APIs to enable calendar integration, including calendar details such as event titles, attendees, dates and times, and join links ("Google User Data"). Before we access any data through these APIs, you will be required to log in to your Google account and provide explicit consent for the collection and use of such data. The following applies to all Google User Data:
- We use Google User Data solely to provide features of Goodmeet that you have requested, which currently include: (i) calendar integration (for example, displaying your upcoming meetings and reminding you to record them); (ii) displaying profile information (such as names and photos) of meeting participants; and (iii) improving the quality and relevance of your meeting notes and summaries. We do not use Google User Data for any other purpose. In particular, we do not use Google User Data for advertising purposes, and we do not sell Google User Data.
- We do not use raw, aggregated or derived Google User Data to create, train or improve any machine learning or artificial intelligence models (whether generalised, foundational or otherwise), and we do not transfer Google User Data to any third-party AI/ML service or tool. Where AI functionality within Goodmeet interacts with Google User Data (for example, where your calendar details are used to improve the quality of your meeting summaries), that processing is performed solely to generate outputs for you, either locally on your device or by AI models (currently the Gemma 4 E4B/12B model) operated exclusively by us in our own private, isolated, self-hosted infrastructure; in the latter case, Google User Data is processed entirely within our own network and is never transmitted to, shared with or accessible by the model provider or any other third party, whether for training or any secondary purpose.
- Our use of raw or derived user data received from Google Workspace APIs adheres to the Google API Services User Data Policy and the Google Workspace API User Data and Developer Policy, including the Limited Use requirements.
Diagnostic data for support: for certain support requests, we may ask you to export and send us diagnostic data from your Goodmeet application, which may include details of your meeting history, notes and summaries where necessary to diagnose and resolve the issue.
Other than the automated processing necessary to provide the Goodmeet features you use as described in this Goodmeet Policy, we will not access or collect data (including any Personal Data) from your meeting recordings, transcripts, notes or summaries unless you provide it to us directly, for example by sharing diagnostic data with us for a support request.
Goodmeet is not compliant with the U.S. Health Insurance Portability and Accountability Act ("HIPAA") or equivalent regulatory frameworks for protected health information. Meeting recordings may capture whatever is said during a meeting, and Goodmeet does not identify, redact or remove sensitive or special category Personal Data, or regulated information such as protected health information, that you or another participant include in a recording. If such information may be discussed, please consider this before recording, and see Section 6 on your responsibilities towards other participants.
How we use Goodmeet data and our legal bases
The purposes and legal bases set out in Section 2 of the Good Systems Policy apply to Goodmeet. The following rows supplement that table with the Goodmeet-specific processing.

Goodmeet AI features
Goodmeet uses artificial intelligence and machine learning models to provide transcription, meeting notes and summaries and certain other features ("Goodmeet AI features"). This Section 5 supplements Section 1.4 of the Good Systems Policy and describes where and how Goodmeet AI features process your meeting content.
Transcription is performed locally on your device. Your meeting audio is not sent to our servers or to any third party for the purpose of transcription.
Meeting summaries and certain other Goodmeet AI features are generated in a secure cloud environment operated on Google Cloud infrastructure using confidential computing technology. This environment is a hardware-based trusted execution environment designed so that your meeting content cannot be accessed or read by us, by Google, or by any other third party, including while it is being processed. Your meeting content is processed in this environment solely to provide the relevant feature to you and is not used to train the AI models of any third-party provider.
Google User Data used by Goodmeet AI features (for example, to improve the relevance of your summaries) is processed either locally on your device or by the self-hosted model described in Section 3.2, and is never sent to the Google Cloud confidential computing environment or to any other third party.
We will only use your meeting content, Inputs or Outputs to train or improve AI models where you have given your explicit opt-in consent as described in Section 4. We may offer you the opportunity to give such consent in the future; if we do, we will explain what your consent covers at the time and you will be free to decline or to withdraw your consent later.
Outside of the Goodmeet AI features described above, we may use externally trained AI models incorporated into services provided by third parties such as Amazon Web Services and Microsoft for purposes such as customer support and analytics, as described in Section 3.8 of the Good Systems Policy (which lists the specific third parties we disclose data to across our Services). Your meeting content is not used for these purposes.
Recording consent and other participants
When you use the recording functionality within Goodmeet, the application provides an in-app notification to you as the recording user when a meeting is about to start. The application does not automatically notify or seek consent from other participants in the meeting. You are solely responsible for ensuring that you have obtained any consent required from other participants in the meeting before recording commences, in accordance with applicable laws. Personal Data relating to other participants (including their voice and any other information captured in the recording) will be processed in accordance with this Goodmeet Policy and the Good Systems Policy. We recommend that you inform all participants that a meeting is being recorded prior to commencing any recording.
It is your responsibility to ensure that you seek the consent of other meeting participants for the recording and transcription of the call, including the potential capture of their Personal Data. Section 7.1 of the Good Systems Policy (information you give us about other people) also applies.
If you are a participant in a meeting recorded by a Goodmeet user and have questions about how your Personal Data is processed, you may contact us using the details in Section 10. Please note that the Goodmeet user who made the recording controls the recording, transcript and summary within their account.
Sharing, storage and security specific to Goodmeet
Signed-in mode: when you use Goodmeet in signed-in mode, your meeting content (including recordings, transcripts, notes and summaries) is encrypted in transit and at rest on our servers, synced and stored in Amazon Web Services cloud infrastructure operated by Good Systems. Where meeting content is processed to generate summaries or other Goodmeet AI outputs, that processing takes place within the confidential computing environment on Google Cloud infrastructure described in Section 5.3, in which your content remains encrypted in use and is designed to be inaccessible to us, to Google and to any other third party.
Guest mode: when you use Goodmeet in guest mode (without sign-in), your meeting content is not synced to or stored on our servers, although summary generation is processed transiently within the confidential computing environment described in Section 5.3. Content in guest mode otherwise remains local to your device.
Location of data: meeting content is currently stored in data centres located in the European Union and the United States. Section 5 of the Good Systems Policy (International Processing and Transfers) applies.
Third parties specific to Goodmeet: in addition to the third parties listed in Section 3.8 of the Good Systems Policy, Goodmeet uses:
- Google Cloud confidential computing infrastructure, to generate meeting summaries and power certain other Goodmeet AI features, as described in Section 5.3;
- We use Plain.com and other third party providers (which may incorporate externally trained AI models) to provide you with customer support services (including handling customer support emails and online submission of customer enquiries and customer support tickets) and help us analyse or identify trends in user-reported issues in order to help us improve our services.
- Amazon Web Services, to store and sync your meeting content in signed-in mode;
- Mailchimp, to manage our customer relationship and marketing communications; Google Analytics, to understand website usage and events; and social media platforms such as LinkedIn and X, to run and measure marketing campaigns.
Retention of Goodmeet data
Section 4 of the Good Systems Policy sets out the criteria we use to determine how long we keep Personal Data. In addition, for Goodmeet:
- meeting content stored in signed-in mode is retained until you delete it through Goodmeet or your Good Systems Account is closed, after which it is deleted within 30 days in accordance with the Good Systems General Terms & Conditions;
- meeting content processed transiently in the confidential computing environment to generate a summary is not retained in that environment after the summary has been generated, consistent with the transient, non-persistent processing architecture described in Section 5.3;
- meeting content in guest mode is not stored on our servers and its retention is controlled by you on your device.
Children
Goodmeet is not available to children under the age of 16, whether in signed-in mode or guest mode. Section 10 of the Good Systems Policy applies without modification.

Your rights in relation to your Personal Data, and how to exercise them, are described in Section 9 of the Good Systems Policy. You may exercise some of your rights (for example, deleting your meeting content) directly within Goodmeet.
Changes to this Goodmeet Policy
We may update this Goodmeet Policy from time to time, in particular where we change the way Goodmeet AI features process your data or the infrastructure we use. Changes will be notified in accordance with Section 14 of the Good Systems Policy.
